The mistake

A default-value fill-in is applied at the wrong layer: instead of choosing per-order copy, a single hardcoded string is substituted into every record where the gift message field is empty, then batched to the printer in one run. Because the fallback is constant rather than context-dependent, the same condolence line lands on all nine thousand cards regardless of what was ordered. Nothing validates the substituted text against the order it belongs to, so the error only surfaces after the print job has completed.
